Why your leads die in WhatsApp

Ask a sales manager in Cairo where their leads come from and WhatsApp will be in the first sentence. Ask where the leads are stored and the answer gets vaguer.

The failure is structural, not personal

The usual setup: ads run, enquiries land in a shared inbox or get forwarded to agents, and each agent then works the conversation from their own phone. Nobody is being lazy. The structure simply has no shared memory.

Three things follow from it, reliably:

Nobody can see the conversation but the agent holding it. A manager asking “what happened with that lead from Tuesday” is asking the agent to remember, not asking the system. What comes back is a summary, and summaries are generous.

A handover starts from zero. When an agent is off, or busy, or leaves, the next person opens a thread with no history. The buyer notices immediately; they have to repeat themselves, and repeating yourself to a company you might buy a flat from is a bad first impression.

Resignation is data loss. The phone leaves with the person. Every objection handled, every budget mentioned, every “call me after Eid” goes with it.

What actually fixes it

Not a rule that agents must log their calls. That rule exists in most brokerages and it is followed on quiet weeks only.

The fix is to move the number. When the company owns the WhatsApp number and inbound messages create leads automatically, logging stops being a task somebody has to remember. The message is the record. The agent still replies from their phone; the history simply also exists somewhere that outlives them.

What to check in your own team this week

  • Pick three leads from last month. Can you read what was actually said to them, without asking the agent?
  • Take the last agent who left. Can you still reach the buyers they were working?
  • Time how long a handover takes today, measured from “agent is unavailable” to “someone else has the context”.

If any of those three is uncomfortable, the problem is not effort. It is that the conversation is being stored in the wrong place.
